Students 

  • Customize: Track an unlimited amount of data for your students - customized to meet your business needs. Standard attributes include customizable status values, membership valid dates, emergency contacts, class history, performance reporting, contact information and photo id. Qualifications can track everything from driver's license information to admissions criteria to life-experience 'resumes' and academic history - completely customizable for your business.

  • Communication: Send E-mail messages individually or simultaneously to many students.  The 'Contacts' section records communications with Students automatically, and allows manual entry of personal contacts such as phone calls or meetings. Send individualized reports with schedules, grades, notices and other customized information by email as a pdf attachment.

  • Invoicing - Invoice for class registration fees, tuition contracts, tutoring/coaching sessions and other purchases. RollCall features automatic invoicing for up to two recurring fees. Membership dates and booked tutoring sessions automatically updated for payment. 

  • Calendars for students showing classes, tutoring and appointments for personal services or clinic work, and administrative appointments.

  • Assign students to umbrella entities such as families with several students or affiliated businesses for tracking corporate training programs. Centralize invoicing for students by 'affiliate' (umbrella entity).

  • Certification/Degrees -Assign students to a program of study for awarding degrees or certificates. View updated progress toward attaining a degree at any time. Change the assigned degree program at any time and immediately view progress toward the new degree.

Class Registration

  • Schedule: setup recurring schedules - eg. MWF at 10:00 am, and optionally add any number of manual sessions with instructor and location. Displayed on all calendars.

  • Instructors: Assign up to four instructors to the class, track teaching hours for actual instructor.

  • Prerequisites: Unlimited setup for prerequisites for a class, automatic tracking for student eligibility. Include age restrictions for class registration.

  • Exams: Unlimited exam setup, track by pass/fail, points, hours and customized rubric criteria. Use clinic appointment evaluation as exam information.

  • Waiting List: automatically created for classes with maximum number of registrants. Automatic notification via e-mail or mail of wait listing or registration.

  • Registration Type: charge different fees for different registrations, as for auditing a class. Optionally setup each type to skip recording attendance or skip awarding credit for the class.

  • Assign Equipment to classes and print a 'Custodian' report for efficient asset tracking and classroom setup.

  • Tutoring: Optional tracking of one-on-one for coaching/tutoring/private lessons for administering sports, music, fitness, school and literacy organizations. Setup students for one-on-one sessions at any time, optionally track session invoicing, goals and results and scheduling. Tutoring hours are recorded for each student, and summed for total participation hours. 

  • Attendance: Setup class hours for attendance, including tracking full day attendance in am/pm segments. Attendance statistics by class and student are updated continuously.

  • Class Type:  Assign classes as Perpetual to hold sessions continuously. Assign classes as a 'Seminar' type to schedule multiple sessions throughout the year, but require that registered students only attend a single session. Perfect for orientation sessions and compliance training.

  • ON THE WEB: Searchable course catalog of classes currently accepting registration.

Prospects Tracking:

  • Transfer: automatic transfer to the student records when admitted.

  • Admissions: Set up an unlimited array of admissions requirements, mark optional requirements and identify which satisfied requirements should be transferred to the student record.

  • Contacts: Track contacts from/to prospects, and use internal emailing capability to keep in front of your best prospects. Schedule followup contacts with discussion points and display on Administrator calendar.

  • Marketing: Tracks customizable sources, retains source to student for evaluating income by marketing source.

Instructor:

  • Skills Inventory for managing accreditation processes and 'role' setup for tutoring/coaching involvement.

  • Track hours for Instructors for teaching or tutoring. Hours for Instructors can optionally be imported automatically to QuickBooks for creating payroll.

  • Calendars: for Instructors include class assignments, tutoring/coaching sessions and office hours.

  • On The Web: Complete access to all classes, registered student information, entering grades, scheduling exams, recording attendance and student communication.

Degree Program Tracking:

  • Performance Standards: with flexible setup of performance standards. Track performance using attendance hours or class credits - or both.

  • Assign classes: to fulfill requirements of standards areas and identify individual classes as required or having a deadline for registration or completion - this is useful for continuing education programs for corporate training groups.

  • Hours/Credit Sources: Optionally include Tutoring hours in tracking total.  View student progress, including missed deadlines or missing requirements on-line.

  • Flexible: The assignment of student to program of study can change any time - immediately view the student's progress toward the new degree or certificate.

Event registration:

  • with checks for age restrictions and Guest registration. Event registration supports email to registrants and guests.

Facilities:

  • Location information: with complete facility definition and rental contract tracking.

  • Equipment: Allows rental equipment assignment and check in/check out. Can be easily used both to track facilities rented to others, and facility rental for classes. 

  • Rentals: Track facility rental to outside organizations.

  • Calendars:  Setup locations for class, exams, tutoring, residences and clinic appointments, and track usage on printable calendar.

Fundraising/Lenders/Scholarships:

  • Track all entities that provide funding to your school in one place - from Sallie Mae loans to fundraising campaigns for building improvements. 

  • Attach funds to a specific student for invoice payment application, or to a 'pool' usable by any student.

  • Usage and Disbursement: Track how the funds are used and optionally enter a disbursement schedule for when funds will be received by the school.

Merchandise/Service:

  • Financial management management including Point of Sale, Inventory, Purchasing, on-hand quantity tracking, Merchandise Catalog and profitability reporting.

Invoicing management: RollCall acts as a point of sale to any accounting system, forwarding invoicing and payment information and instructor hours for reporting in traditional accounts receivable and payroll applications.

  • Flexible Billing: including recurring fees, automatic invoicing of Event and Class registration fees, invoice printing, multiple payment methods, perpetual audit history and invoice history by student. 

  • Tuition Contracts: Track contracts for payment for tuition or other charges using a flexible payment schedule and automatic tracking of invoice information and payments.

  • QuickBooks: Programmatically exchange Invoices, student and merchandise information to QuickBooks® in one easy step. QuickBooks® must be purchased and licensed separately. See system requirements for version information.

* Business management tools including Course and Merchandise Catalog printing, performance graphs for Students and Classes and performance graphs for business income streams. 

* Flexible reporting with an included report writer and pre-set exports to third-party software such as Microsoft Word or Excel. RollCall even includes a forms writer for creating graphical reports such as invoices, statements, grade reports, course catalogs, transcripts, registration reports and more. Any report can be sent as a pdf file, and emailed to students. Activity reporting prints 'packets' of reports for each student at user-selected events, such as signing up as a new student, registering for classes, signing up for tutoring sessions or receiving final grades. Statements, Invoices and Activity reports are automatically saved as an HTML file and emailed to students who select contact by email.

RollCall delivers data access to key players in the educational process by providing customized Views to Administrators, Students, Instructors, Point of Sale and Appointment Scheduling. Each View contains secured access to the data and update capability needed for each user-type. This is especially well suited to network  implementations and installations served over the Internet.

Software Built for Change

RollCall supports out-of-the-box customization for labels for Students, Classes and Exams. Common alternatives are 'Members', 'Courses' and 'Assessments'. You can use different terms and processing options between campus locations. RollCall allows optional use of many processing options - and hides all the processing if not used. See the student window with maximum and minimum processing options here. RollCall includes a ReportWriter for creating customized reports and also provides a flexible interface to Microsoft Word* and Excel for customized form letters and spreadsheets.

PowerVista Bridge, a comprehensive database application development environment, was used to develop RollCall.  You can enhance RollCall to exactly meet your needs using PowerVista Bridge and the RollCall source code available (free) on the PowerVista web site. 

You do not have to be a professional programmer to use PowerVista Bridge. The visual development environment makes it easy to change window layout, validation and processing. The RollCall development Style has step-by-step instructions for making the most common window interface changes to RollCall. Examples are to add database fields, to add or remove fields from windows, or add new functionality. Any change you need to make to RollCall to exactly fit your business can be made quickly and reliably using PowerVista Bridge. If you don't have the resources to make changes, PowerVista staff can make any changes you need. The Enterprise Development Edition of RollCall even includes 10 hours of programming from PowerVista - free.

Installation Options

RollCall Standard Edition is a standalone single-user application. The database used is the PowerVista database, which comes free with RollCall- Standard Edition. 

RollCall Enterprise Edition is a networked application for multi-user access and operates on any ODBC compliant database such as Access, SQL Server, MySQL, Oracle or DB2. License and installation of the selected ODBC database is the responsibility of the customer, PowerVista RollCall connects to the installed database manager. 

Use PowerVista ApplicationServer to deliver web access for your Students/Instructors/Prospects/Affiliates, including a searchable course catalog and on-line store. And, operate RollCall across the Internet. This installation option supports an Application Service Provider model of delivery or a single and a centralized data repository with remote clients. A licensed and installed copy of RollCall Enterprise Edition is required. Once PowerVista ApplicationServer is installed, remote sites may access, update, print and view RollCall information on the main server.

RollCall Standard Developer and RollCall Enterprise Developer product bundles include the RollCall Style Library (development environment) and source code. Changes can be made by a single developer to the RollCall source code and delivered without runtime, royalty or license charges to end users. PowerVista developers are also available on a contract basis to customize RollCall.

*Microsoft products must be purchased, licensed and properly installed before they may be used with RollCall data.
